PICS R8 Release - Migration to Microsoft Azure & More!

PICSWeb Migration to Microsoft Azure.


Earlier in the year we sent out communications informing customers that we plan to migrate the PICSWeb Infrastructure from 3rd Party Data Centres into the Cloud.
We're excited to announce that over the Easter period, PICSWeb Infrastructure was successfully migrated to Microsoft Azure.


Addressing Slowdown in PICSWeb.


We've spent some time to address where customers have experienced slowdown in PICSWeb.

As part of this release a number of optimisations will be sent out:
The actions FindCourse/Enrolment which is utilised when calling learner & applicant records has been optimised.
We've also put in optimisations to the following ranges present in PICSWeb:

  • Criteria

  • Outcomes

  • Sessions

  • Applicant

  • Learner

  • Reviews

    We'll also be moving our FileManager to a more optimised process within Microsoft Azure as well as exploring Auto Archiving functionality.

Update to the OneFile Integration


We've updated our Integration with OneFile to align with changes OneFile have released to their API.

OneFile now use codes from the ILR Specification. We have added support for the fields when creating learners in OneFile and also when pushing learner demographic data to OneFile from PICS.


Qualification User Defined Forms


We've introduced User Defined Forms for Qualifications linked to learners. This allows for Customers to create User Defined fields that captures bespoke to their operational requirements. These User Defined fields are also available in a range of ILR specific and Learner specific reports.

 

Analysis Columns for Interactive Reports


We’ve introduced a new feature to make interactive report tables behave more like pivot tables you'd commonly find in Microsoft Excel. We currently allow multiple fields to be selected for analysis which leads to multiple rows, but there is always a single “value” column showing the count or sum. This new feature allows selection of a field (or fields) to populate the columns and show data horizontally in the table as well as vertically.



Funding Forecasting Option to breakdown reports by Qualification Plan & Age Band.


We've introduced a new Reporting Template for Funding Forecasting.

The "Funding Forecasting Planned Starts Breakdown Report"
This reporting template allows customers to select a Funding Profile & a Planned Starts Profile combination. This generates a report that breaks down planned start funding and actual projected funding by Qualification Plan, Age Band and Period.
The optional outputs allow selecting to show full breakdowns of Actuals and Planned Funding, plus all additional details relating to the Qualification Plan.

Default Workflows for all Entities.

We've expanded the default workflow to allow for Opportunity & Organisation workflows to now benefit from this.

Organisation workflows can be now defaulted if a default status is applied. The default workflow can be applied when created from the following:

  • Manually Creating an Organisation
  • Creating via the API
  • Sign Up forms (if the form does not already have a workflow specified)

 

Opportunities can only be created manually, therefore we've included the ability to assign a default workflow when opportunities are created.



New CC Options in Review Notification.

We've added new CC Options for review notifications which now allow for users to CC the Reviewer and CC the Review Mentor when setting Review Notification Automations.

Applicant Workflow Post Actions - Create Account

We've introduced a Workflow Post Action feature for the Applicant Workflow. There is now a new Action Type to create a user account for the applicant.
