New Features

  • Reporting: The Claim History Report has a new Optional Output “Opportunity Details” which will output learners’ linked Opportunity’s Title, Organisation and Owner details.


  • Claims and Profiles: If the Apprenticeship Funding Band is unable to be determined whilst performing funding calculations, it will now show in the Process Warnings spreadsheet.
  • Claims and Profiles: The Partner Reconciler now shows rows for individual parts of a programme’s funding.
  • Claims and Profiles: When performing FM36 funding calculations, Process Warnings have been added when the Standard/Framework code has not been entered for respective programme types.
  • CRM and Applicants: A System Status label has been added to entities which have GDPR tools available. If an entity does not have a System Status of ‘Live’ then you will be unable to edit that entity.
  • eEmploy: Completed Surveys for a learner are now displayed as a table with the ability to view all answers for that survey.
  • PICS Main: It is now possible to view and record simple Off the Job hours records for a specific FM36 episode directly from the ILR. A yearly total of all Off the Job Hours for all of a Learner’s episodes to be exported is also shown.
  • PICS Main: A summary section has been added to a Learner’s Contact Hours Report on the Learning and Contact Hours form.
  • PICS Main: Added “Export in 2018” option for Destination and Progression records allowing control to force or stop exporting of records for ILR submissions.
  • PICS Main: LARS v6.0.0 : 20 Sep 2018, ORGANISATION v3.0.0 : 20 Sep 2018 and Large Employers Reference Data v01.01.01 : 06 Sep 2018 are now available in PICS
  • PICS Main: LLWR: Validation of LP04 Programme ID has been added to ensure that it is not blank
  • Reporting: Optional Output selections on the Occupancy Report within the new reports switchboard are now persisted across sessions.
  • Reporting: The Achievement Rates report now has a “All lrnrs on breakdown” option which will add all Learners to the Breakdown tab, even if they are not included in the totals. This can be used to show FM36 Learners who have not yet completed, even though they are excluded from Timely Achievement Rates.

Data Patches
These are changes to the PICS Database structure to support future features. When they are available they will be announced as New Features or Improvements in the relevant Release Notes.

  • PICS Main: When setting up scheduled database patching, it is now possible to force PICS to re-try the patch over a specified time interval if the patch fails.
  • PICS Main: Data Dictionary User accounts are being reset to solve some remaining 7078 errors following the 15.20 upgrade.
  • PICS Main, PICSWeb: Additional indexes have been added to facilitate future developments

Bug Fixes

  • Claims and Profiles: Updated FM36 funding calculations to pay completion elements on any outcome instead of positive outcomes (values 1, 6 or 7).
  • Claims and Profiles, Reporting: The Learner Status report was not displaying all ACT values for FM36 Apprentices when run in “Individual payment items” mode. Now fixed.
  • Claims and Profiles, Reporting: The Learner Status report was excluding some Trailblazer Standard Learners when run for previous years. Now fixed.
  • Claims and Profiles, Reporting: Learner Funding Status report was not calculating Completion payments where the ACT record ended before the possible completion date. Now fixed.
  • CRM and Applicants: Viewing existing or adding new CRM Task Activities gave an error. Now fixed.
  • Form Capture App, SOAP Service: Company Main Contact details entered in to the Windows FCA client were not being saved back to PICS data. Now fixed.
  • Misc Tools: BKSB Data Bridge was failing to update ICT results for Applicant accounts (those with user IDs like APP00001). Now fixed.
  • PICS Main: Fixed an issue where configuring software updates with multiple instances of the same web application would only update the first copy.
  • Reporting: “ESA (IR) WRAG 3/6 Month Mandatory” customers were being displayed as PG6b instead of PG6a. Now fixed.
