New Features

  • CRM and Applicants: New “Week” and “Work Week” views have been added to the CRM Calendar, which display all events planned on a week-by-week basis and are colour coded by the user who created the event.
  • CRM and Applicants: GDPR Tools for managing Soft Deletion, Archiving, and Anonymisation of Activities are now also available from the main Activities view in CRM.
  • eAssessor: There is a new config option to control if a learner can view the Barriers section. This new setting is called “Learner can view Barriers page” and can be found in the eAssessor config page in the Learner Specific View/Edit Settings section.
  • PICS Main: PICS working dates can now be set to 1st August 2018 and later


  • AdHoc: Added the ability to filter AdHoc output by Applicant Attributes.
  • AdHoc: For DWP databases, only Ident is now ticked by default in Define Output.
  • Claims and Profiles: The funding calculator was not considering breaks in learning when determining the correct periods for the Young Apprentice Incentive payments. Now fixed.
  • Course Manager: It is now possible to add files to a course instance as well as to a course session.
  • Course Manager: When there are more sessions for a course than can initially fit onto the attendance recording screen, we now automatically scroll the view to show sessions for today.
  • Course Manager: The Past Year Attendance report now offers a date range selection to allow the user to select a different date range before building the report
  • Course Manager: There is now an additional column in the course grid and a filter option for course instance type.
  • eAdmin: A suspended label has been added to the payments list and payments transition wizard if the learner is suspended.
  • eAdmin, eContract, eDashboard, eRecruit: The display of error message in eAdmin, eContract, eDashboard, and eRecruit has been improved.
  • eApply: There is a new configuration setting in the Miscellaneous section of Additional options for the applicant form to “Show Plan Qualifications”. This option can be unticked to stop listing the qualifications that make up a qualification plan when the applicant selects the plan on the form.
  • PICS Main: When starting the consortium export, we now perform additional checks in order to identify records upfront that would previously have caused the export to fail mid-process.
  • PICS Main: There was an issue where selecting a large number of specific learners for eSurvey availability would cause PICS to appear to have crashed. Now Fixed.
  • PICS Main: UKPRN is now an optional output field on the Find Learners screen
  • PICS Main: Payment System Type and Invoice number are now shown on the additional income and expenditure screen
  • PICS Main: The Privacy Notice on the PDF ILR Import template has been updated to match the text supplied by the ESFA, and also respects the new 2018 “Opt-in” field values for PMC and RUI fields.
  • PICS Main: The user configurable name for “Learners” is now used consistently on PICS Main form on the Select, Find, Edit , View buttons.
    Provider Assigned ID and Careers Service No can now be used as search criteria in “Find Learners”. The title of these fields can be changed in PICS Configuration.
  • PICS Main: New 2018/19 codes for EII, Withdrawal Reason and Main Source of Tuition Fees are now available in ILR data capture, when appropriate.
  • PICS Main: LARS v5.0.0 : 09 July 2018, ORGANISATION v3.0.0 : 09 July 2018 have been added to PICS.
  • Reporting: In order to avoid data duplication, changes have been to the way we export data to MS SQL Server.
    We have also fixed an error where the exported table names contained whitespace characters.

Data Patches
These are changes to the PICS Database structure to support future features. When they are available they will be announced as New Features or Improvements in the relevant Release Notes.

  • PICS Main: Fields have been added to Activities to track GDPR related events: Soft Deletion, Archiving, Anonymising and Retention Review.
    Tables have been added to archive Activities field change records.

Bug Fixes

  • AdHoc: Output of Ward Area descriptions would raise an error. Now fixed.
  • AdHoc: Unspecified Data Types could occur on null fields in large exports from AdHoc to MSSQL outputs. Now fixed
  • AdHoc: Output of Learner Additional Details and Applicants was not working correctly, due to issues with Opportunity filtering. Now fixed.
  • Claims and Profiles: The Calculation Details report from the Funding Calculator was not displaying the Apprenticeship Trailblazer funding details. Now fixed.
  • Course Manager: The course manager attendance report had a column alignment issue with the GLH values. Now fixed.
  • CRM and Applicants: There was an issue where the backspace key wouldn’t work in certain fields. Now Fixed.
  • eApply: Opportunities created via eApply Company Signup would not work as the opportunity class was not being set. Now fixed with the introduction of a new setting to choose the class of opportunity to create.
  • eAssessor: Adding a ILP document type with a blank status could cause an SQL error to appear. Now fixed.
  • eEmploy, eRecruit: There was an issue with the preferred contact method field defaulting to email when creating a new Learner/Applicant/Company in eRecruit. Now fixed.
  • Form Capture App: Output of Qualification Start and Expected End dates was broken on Windows Form Capture. Now fixed.
  • Hosting: Fixed authentication error after logging into RDS 2016 servers on an Apple Mac device.
  • PICS Main: The 2017 ILR PDF produced from PICS was missing the page containing Employment Statuses. Now fixed.
  • Reporting: The 2016 Achievement Rates report was not excluding JSA/ESA/Universal Credit learners correctly as per rule JSA_ESA_UC_Excl in the ESFA QAR dataset specification. Now fixed.
  • Reporting: The Achievement Rates Analysis “Programme (old)” would show multiple analyses for the same programme where the funding model was different, which would mean that it could not be used for identifying Minimum Standard cohorts when including FM36 learners. Now fixed, and the analysis has been renamed “Programme Type Code”.
  • Reporting: Fixed an issue in scheduled reports with user site permissions being ignored when selecting no sites.
