New Features

  • AdHoc: A new drop down selection has been added to the Outputs for Claim History Items (Miscellaneous –> Claimed Items) to exclude either employer earned claims or PMR derived claims.
  • Claims and Profiles: Budget Manager now has the option on the site/plan selection screen to display earned employer payments instead of payments based on PMR records.
  • Form Capture App: It is now possible to search for applicants in PICS using Android and iOS versions of FCA.
  • Form Capture App: It is now possible to see a list of applicants within FCA (iOS and Android).
  • Form Capture App: In FCA (iOS and Android) it is now possible to start filling out a form from a learner, where the existing stored details for this learner will automatically be filled in.
  • Form Capture App: Now possible to create a new form from an applicant within FCA (iOS and Android).
  • Form Capture App: Now possible to create a new form from an organisation within FCA (iOS and Android).
  • Licensing Module, Reporting: Added a restriction to prevent the use of reports which use the MS SQL Server Proxy service as a destination where a valid licence is not installed. This check will take effect on 1st August 2018.
  • PICS Main: PICS Desktop Help has now been migrated to online help.
  • PICS Main: A new extract of the OfQual register is available – taken 10/05/2018
  • PICS Main: In PICS Configuration, hovering over the label for a setting will display the default value for that setting. In addition, any settings that have been changed from the default will be displayed in bold when the settings form is opened.
  • PICS Main, eAssessor: The ability to add new Qualifications and Units to Learners in eAssessor is now controlled by two new user settings; ‘Add Qualification to Achievements’ and ‘Add Units to Achievements’. These are found on the eAssessor tab within User & Password maintenance.
  • Reporting: A Hosting Usage Report is now available for hosted customers.
  • Reporting: The Claim History report now has an option to display Employer Earned payments instead of PMR derived claim items.
  • Reporting: The option “Use earned employer payments” has been added to the Learner Status report. This option will calculated employer payments that are earned in a period instead of looking at PMR records.
  • REST API: Added the ability to get an ITP Job by RecGuid or search for multiple jobs by learner ident, Employer code and Employer Contact code. Please see the API documentation included with the REST service for additional details.
  • REST API: Added the ability to insert and update ITP jobs. Please see your API documentation for details.


  • AdHoc: New Selection Criteria for Programme End Type
  • AdHoc: Added output of UDF data for Job outcomes and improved output of JCP Notification, Job Tracking and Milestone UDF data.
  • AdHoc: Output CRM Activities are now restricted by their selected visibility group
  • Form Capture App: There was an issue with time fields in FCA not validating Min / Max values correctly. Now fixed.
  • PICS Main: Barrier description has been added into the grid under Learner -> Extras -> Barriers.
  • PICS Main: PRaP Importer will now never overwrite Phone, Mobile and Address with blank values. Additionally there is a new config setting (‘Do not overwrite personal contact details’) which will mean the PRaP Importer never overwrites these fields.
  • PICS Main: Data Capture for the Restricted Use Indicator (RUI) and Preferred Method of Contact (PMC) ILR fields has been updated to include the new opt-in codes as described in the 2018 ILR Specification.
    Validation has been added to prevent the entry of conflicting values.
  • PICS Main: LARS v5.0.0 : 09 May 2018, ORGANISATION v3.0.0 : 09 May 2018 have been added to PICS.
  • Reporting: New column “Days since last review” added to the Last and Next Reviews report type for the Reviews V2 report in Schedulable Reports.
  • Reporting: The Claim History report should now take less time to run.
  • Reporting: Scheduled Adhoc to SQL server reports now catches unexpected errors and retry the SQL execution against the SQL server.

Data Patches
These are changes to the PICS Database structure to support future features. When they are available they will be announced as New Features or Improvements in the relevant Release Notes.

  • CRM and Applicants, PICS Main: Performance improvements to the Stored Procedures that update Spaces Available in Attendance CRM Activities
  • PICS Main: PICS-12811
  • PICS Main: Duplicate SOC Code records in pcSOC will be removed
  • PICS Main: Annual, Historic and New fields for 2018/19 ILR Data Capture and Export have been added.
  • PICS Main: Added RI in between officer and trainee evidence.
  • PICS Main: Fields have been added to Organisations to track GDPR related events: Soft Deletion, Archiving, Anonymising and Retention Review.
    Tables have been added to archive Organisation field change records.

Bug Fixes

  • AdHoc, CRM and Applicants, PICS Main: An issue when creating mail merge templates in Adhoc was not finding the file. Now fixed.
  • Claims and Profiles: The funding calculator was not considering any PMR records that were paid outside of the in-learning programme dates. Now fixed.
  • CRM and Applicants: The Current Learners filter did not work as expected. Now fixed.
  • eEmploy: The Workspace screen was missing an “Email” heading on the Recently Viewed table. Now fixed.
  • Imports and Exports: The ILR Exporter now sends Term time accommodation from the most learning episodes containing HE learning aims, instead of the most recent learning episode. This is to prevent FIS error due to missing TTACCOM values.
  • Reporting: The Achievements Rates report was not displaying the subcontractor name properly, when subcontractor analysis was switched on. Now fixed.
