New Features

  • AdHoc: Output options for total Off Job contact hours have been added.
  • CRM and Applicants: GDPR Tools for managing Soft and Permanently Deleting, Archiving, & Anonymising Applicant records are now available from the main Applicant view in CRM.
  • eAssessor: It is now possible for the user to update their own email address via the profile page.
  • PICS Main: GDPR Tools for managing Soft and Permanently Deleting, Archiving, & Anonymising Learner records are now available from the Client Selection Screen Tools menu.
  • Reporting: FM36 Reconciler now shows a warning if SFA Claims haven’t been updated.
  • Reporting: The Learner Funding Status Report was including Employer Incentive payments with no option to exclude these. An Optional Output “Include Employer Incentives” has now been added to include these payments.


  • AdHoc: Added a new output under “Achievements -> Units & Assessments -> Qualification and Unit Assessments” called Qualifications linked to the Unit which outputs the qualification reference the unit is linked to. If the unit is linked to multiple qualifications, the qualification references are concatenated without spaces.
  • Claims and Profiles: Improved the performance of FM36 Reconciliation tools and added progress information.
  • CRM and Applicants: Contact method preferences for recipients are now respected when creating activities in CRM.
  • CRM and Applicants, eEmploy: Generic Universal Credit opportunity code added.
  • eApply: eApply has been updated to meet GDPR requirements, by including Allowed Contact Methods and Preferred Contact Method.
  • eAssessor: It is now possible for an assessor to cancel the request of a learner acceptance signature on a review if it has not yet been provided.
  • eEmploy: Contact Preferences added to eEmploy Customer Edit.
  • Form Capture App, PICS Main: Fields and picklist for Allowed and Preferred Contact Methods have been added to the Form Capture builder and clients.
  • Form Capture App, SOAP Service: Authentication error messages from the WebService now contain more details.
  • Hosting: Remote desktop files will now include a timestamp in their name so there is less chance of requiring to clear out the browser downloads folder due to having 100 downloads with the same name.
  • Misc Tools: PICS Software Updates now shows whether Web, Dekstop or both are being updated.
  • PICS Main: The password authentication standardisation has been applied to PICS Main. Password maximum age configuration setting has been added.
  • PICS Main: LARS v5.0.0 : 20 Apr 2018, ORGANISATION v3.0.0 : 19 Apr 2018 and PostcodeFactorsReferenceData v 2017.1.1 : 06 Mar have been added to PICS.
  • Reporting: Off Job tracking hours now available within the Occupancy Report.
  • Reporting: The Auto SMS / Email report has two new options to respect a recipient’s Allowed Contact Methods and to respect ILR based PMC preferences.
  • Reporting: The occupancy report now has the option to show a learner’s allowed, and preferred contact methods alongside their preferred contact address.
  • Reporting: The organisation occupancy report now contains “Accepted Contact Methods” and “Preferred Contact Method” fields as additional columns within the report.
  • Reporting, eAdmin: Raised for Payment status has been added, allowing users to see that finance have been notified they need to pay.
  • REST API, SOAP Service: Available and preferred contact methods have been added to Trainees, Applicants, Contacts and Employers. Please see your API documentation for additional details.

Data Patches
These are changes to the PICS Database structure to support future features. When they are available they will be announced as New Features or Improvements in the relevant Release Notes.

  • PICS Main: Additional field change logging has been added to pcTrnRep to record changes to the GDPR action logging fields.

Bug Fixes

  • AdHoc: There was an issue with the training end type filter list in spreadsheets produced by AdHoc. Now fixed.
  • Claims and Profiles: The funding calculator was not calculating renegotiated prices correctly when only part of the negotiated price was updated. Now fixed.
  • Claims and Profiles: Single Learner Funding Details available from the ILR for FM36 Apprentices was sometimes displaying Employer Payments incorrectly. Now fixed.
  • Claims and Profiles: There was a bug in calculation of actual end dates that could cause an extra payment to show in claim history. Now fixed.
  • CRM and Applicants: Milestone Claim button was enabled if the milestone status is “Expired”. Now fixed.
  • CRM and Applicants: The SLC Loan Importer was not identifying all of the unknown applicants if there were multiple applications. Now fixed.
  • CRM and Applicants, eEmploy: When scheduling milestones via tracking, the start date was incorrectly being set to the day after the previous milestones expected achievement. Now fixed.
  • eApply: Files would not be uploaded and correctly linked to the applicant signing up. Now fixed.
  • eAssessor: We no longer show the City and Guilds Enrolment number on the learner overview screen if the value is blank.
  • Imports and Exports: ILR importer would break when attempting to import bad CSV files. Now fixed.
  • Imports and Exports: Issue with ILR exports being given duplicate numbering. Now fixed.
  • Misc Tools: An issue with the duplicate ULIN report when joining PICS databases was reporting on deleted learners. Now fixed.
  • PICS Main: ILR validation for Programme Aim expected end date has been changed from a warning to an error. An error will be reported if: the aim expected end date is blank, before the aim expected start date, or after the episode expected end date.
  • PICS Main: There was an issue with trying to access a new database after attempting a restore under certain conditions. Now fixed
  • PICS Main: When opening the ILR form in readonly mode the apprenticeship financials popup is now available with readonly functionality.
  • PICS Main: There was an issue with the ACT Form information message being incorrect. Now fixed.
  • PICS Main: When importing an Applicant into a Leaner the first line of the address was coming out blank. Now fixed.
  • PICS Main: Employer Incentive payments have been added to the single learner claim history view from the PICS Main view.
  • Reporting: An issue with the Learner Status Report calculating an incorrect number of payments for Traineeship Learners. Now fixed.
  • Reporting: Pivot options saved for the Ofsted 2017 report weren’t appearing in the list of available options. Now fixed.
  • Reporting: An issue with trainee names being used instead of applicant names in the Organisations Diary Report. Now fixed.
  • Reporting: An issue with saving a Reviews V2 Report where “Reviews Missing” option was selected. Now fixed.
  • Reporting: An issue with Learner Delivery Monitoring (LDM) being output incorrectly in Learner Status report. Now fixed.
