New Features

  • AdHoc, CRM and Applicants: Added data capture for default ACT to organisation additional details. Added the ability to report on organisation default ACT to AdHoc Reporting.
  • AdHoc, eDashboard: Support for date formatting as ISO 8601 Year Week has been added. Dates are expressed as YYYY-WNN. 01/01/2018 appears as 2018-W01. This allows users to aggregate data by week.
  • CRM and Applicants: When adding a new learner, the ACT value will be defaulted from the employer’s ACT.
  • eAdmin, eAssessor, eDashboard, eEmploy, eRecruit, eTutor: If you have application switching enabled between your PICS based web applications, it is now possible to open records in your other apps from the pop up preview views for learners, officers, placements etc.
  • Hosting: It is now possible to group app icons under different tabs. Please contact us if you want this set up.
  • Reporting: A new report option “Missing PMR Records” has been added to the Learner Audit Report.
  • Reporting: Build, send and total run times and durations are now included in success and error emails received from Scheduled reporting.

Improvements

  • AdHoc: UDF selection can now report on blank/missing answers
  • AdHoc: Selection Criteria for No Reviews of the specified type has had proposed date in range added.
  • Course Manager: New columns added to Course Attendance, displaying Enrolment Date, Course Start, and Course End.
  • CRM and Applicants: CRM & Organisations has undergone a number of security improvements. Including a “Maximum Login Failures Allowed” feature.
  • CRM and Applicants: Opportunities were not respecting the Export As value on aims within a Qual Plan when estimating revenue. Now fixed.
  • CRM and Applicants, PICS Main, PelControl: It was possible that an error would be thrown whenever a new FIS, LARS or DriveTime database was extracted in PICS. We have taken steps to fix this.
  • eAdmin, eAssessor, eContract, eDashboard, eEmploy, eJobMatch, eRecruit, eTutor: The top level navigation has now moved to the left hand side of the page.
  • eApply: eApply has undergone a number of security improvements. Including the addition of the lockout after too many maximum failed login attempts feature.
  • eAssessor, eJobMatch: Password complexity requirements now displayed when changing passwords from eAssessor
  • Form Capture App, PICS Main: Password prompt can now be typed into immediately
  • PICS Main: The FM36 Reconciler now displays the Price Episode Start Date and the associated Employer Name in the Data Lock reconciliation report.
  • PICS Main: All qualifications will now be shown in the main aim pick list when adding a new ASL Learner.
  • PICS Main: New PICS Config in the Learner section to automatically include Aims in current export year when entering End Dates and Outcomes in previous export years.
  • PICS Main: The Annual Contract Data view of Qualifications now supports Last Registration dates in 2099 (as imported from LARS data)
  • PICS Main: Period base data for 2018/19 years has been added for all funding types
  • PICS Main: LARS v5.0.0 : 08 Mar 2018,

  • Reporting: The menu item “View learner’s progression” from the Reports menu in PICS has been disabled for FM36 Apprentices.
  • Reporting: The VQ Progression “Funding Progression” report does not currently display funding details for FM36 Apprentices so these learners are now excluded from the report.
  • Reporting: The Episode Progression Report now has a menu option of “Include archived episodes” to include archived episodes in the generated report.
  • Reporting: Improved the performance of the Achievement Rates Report.
  • Surveys and eSurveys: Subcontractor code is now displayed on the Learner picklist in Survey availability.
    Survey availability Learner picklists can now have items ticked by applying a list of internal idents; this also works for Organisations and Officers.

Data Patches
These are changes to the PICS Database structure to support future features. When they are available they will be announced as New Features or Improvements in the relevant Release Notes.

  • CRM and Applicants, PICS Main, eAssessor: Indexes have been added to various table to optimise database performance.
    The “Live” filter in Qualification Basedata maintenance now excludes Aims with Last Registration, ESFA Approval End or LARS Change dates before 01/08/2016.
    The Form Capture Manager now has a filter on the form Modification date – this defaults to those modified in the last Month.

Bug Fixes

  • Claims and Profiles: The funding calculator for FM36 apprenticeships was not detecting the correct ACT record for a given period if the aim was expected to end before the end of the period. Now fixed.
  • Claims and Profiles: Work Programme Monthly Returns was processing all milestones from previous periods every month. Now fixed.
  • CRM and Applicants: Applicants could be saved with invalid school and college data. Now fixed.
  • CRM and Applicants, Claims and Profiles: The Derbyshire Network’s Invoicing system would not pick up all Apprenticeship Payment Records if there were more than one with the same PMR value in the same period. Now fixed.
  • eAssessor, eJobMatch: Learners could sometimes not view their own activities. Now fixed.
  • eRecruit: File attachments sent via the email Drop Box would not be saved. Now fixed.
  • eTutor: There was an issue where course session enrolments wouldn’t show. Now fixed.
  • Misc Tools: Fixed out of memory error raised during vacancy imports.
  • PICS Main: The AS Bulk uploader was including leading zeros for Framework, pathway and standard codes where the length of the code was less than 3 chars. Now Fixed.
  • PICS Main: When adding a file to the Contacts section of ILP Data, the confirmation text in the “File Name / Text” section had been mistakenly removed. Now Fixed.
  • Reporting: The Learner Status Report’s Formula Value column was not including the TNP values for FM36 apprentices. Now fixed.
