New Features

  • CRM and Applicants, eAssessor, eEmploy, eJobMatch, PICS Main, REST API, SOAP Service: Trainees, applicants and Organisation users who receive PICS Messages will now receive an email if configured to do so.
  • PICS Main: A new extract of the Ofqual register is available – taken 13/01/2018.
  • PICS Main: The Learner/Applicant/Organisation import from CSV files now works with XLSX files as well.


  • Claims and Profiles: The FM36 reconciler now uses periods from the government reports where total monies for the period is less than £0 in its calculations.
  • Claims and Profiles: Reports produced by the FM36 Reconciler are now automatically opened or copied to the hosting portal.
  • Claims and Profiles: Excel filters have been added to FM36 Reconciliation reports.
  • Claims and Profiles: The FM36 Reconciler now has a brief Information section detailing the expected files for each reconciliation process. A Guidance button has been added which will launch the appropriate PICS Online Help page.
  • CRM and Applicants, eEmploy: Added new set of config settings under PRaP Exit Reports making Exit Reports available for all DWP programmes.
  • CRM and Applicants, eEmploy: New config setting which sets validation severity for tracking records which occur before Referral date to Error or Warning (under “Generic PRaP” > “Tracking”).
  • eDashboard: eDashboard has undergone a number of security improvements. Including the addition of the lockout after too many maximum failed login attempts feature.
  • eEmploy: Email address now available as an advanced search for learners in eEmploy.
  • eEmploy: eEmploy has undergone a number of security improvements. Including a “Maximum Login Failures Allowed” feature.
  • eRecruit: eRecruit has undergone a number of security improvements. Including a “Maximum Login Failures Allowed” feature.
  • eTutor: eTutor has undergone a number of security improvements. Including a “Maximum Login Failures Allowed” feature.
  • Form Capture App, PICS Main: There is now better logging on status changes especially for CRM Activities with errors.
    In windows FCA the form status is immediately updated when the form is rejected during the upload process.

  • PICS Main: The employer code and name will now be shown on the ILR Data tab on Apprenticeship Financial Details.
  • Reporting: Added the ability to password protect outputs from Schedulable Reports when sending outputs via FTP, Email or to LAN directories.
  • Reporting: Four new optional outputs added to the Learner Status Report: Date Entered, Apprenticeship Name, Expected Instalments, and Instalments in Learning.
  • Reporting: A new option has been added to the monthly tab for scheduled reports that allows for a specific weekday/weekend day to be selected.
  • Reporting: The new Trainee Payments report has been renamed Learner Payments and can now be searched for using key words such as PMR, TNP and Incentive.
  • Reporting: Now possible to change which date to filter by within Trainee Payments report.
  • Reporting: The OfSted 2017 report is now in the Government reports category.

Data Patches
These are changes to the PICS Database structure to support future features. When they are available they will be announced as New Features or Improvements in the relevant Release Notes.

Bug Fixes

  • Claims and Profiles: The FM36 funding calculator was paying balancing payments on Maths and English aims even when they had not been achieved. Now fixed.
  • Claims and Profiles: When running non-ILR funding calculations on the Pellcomp hosting environment, the error “You do not have the required licence to add files to the PICS file store” could occur. Now fixed.
  • Claims and Profiles, Reporting: Budget Manager, Learner Status report and the Subcontractor Reconciler were not showing Programme Aims for FM36 Apprentices. Now fixed.
  • CRM and Applicants, eEmploy: “Employee Reference” was mislabelled as “Employer Reference”. Now fixed.
  • eApply, eAssessor, eEmploy, eRecruit: There was an issue with selecting organisations in web applications containing apostrophes in their name. Now fixed.
  • eAssessor: There was an issue with learners being able to login to eAssessor using their email address as their username. Now fixed.
  • eEmploy: Action Plan was failing to load in eEmploy when all sections are marked dormant. Now fixed.
  • eEmploy, eJobMatch: Clicking on an appointment in Calendar view did not open the Activity as expected. Now fixed.
  • eTutor: Learner sessions attendance output could cause an error. Now fixed.
  • eTutor: There was an issue with session attendance entries being displayed incorrectly. Now fixed.
  • Imports and Exports: The ILR importer was incorrectly assigning Non-funded apprenticeships to the wrong Programme Group. Now fixed.
  • PICS Main: Issue with Client List filters not being reset, now fixed.
  • PICS Main: There was an issue with synchronizing learners with new qualifications added since enrolled into OneFile. Now Fixed.
  • PICS Main: There was an issue with some qualifications not appearing for apprenticeship reforms programmes in annual contract data. Now fixed.
  • Reporting: Exporting All of the Ofsted 2017 Interactive reports would error due to duplicate sheet names. Now fixed.
