New Features

  • CRM and Applicants: Added a new PRaP Checkbox Report setting “Include milestones passed their expected date”, when ticked the report will include milestones which have a blank achievement date in PRaP and have passed their expected achievement date.
  • CRM and Applicants, eEmploy: Added new settings for PRaP Job Tracking.
    When “‘Schedule all future Milestones'” is ticked and the customer is employed and eligible for their job outcomes the system will schedule all possible future outcomes as opposed to only scheduling the next unclaimed outcome.
    When “Auto-reverse unused Milestones” is ticked and the customer becomes unemployed or ineligible for their job outcomes the system will blank the milestone’s Actual Achievement and Validation dates in addition to the milestone’s Started and Expected Achievement dates.
  • eAssessor: Added a new button “Email Username” to email learners their username if they forget it, a new setting has been added to enable this feature
  • eContract: Logging in as a head office now allows you to track payments for learners employed by sub-companies
  • eEmploy: The calendar view has been redesigned.
  • PICS Main: Assessments can now be linked to PICS organisations to provide better tracking of assessment locations. See our blog post for more detail.
  • PICS Main: A new extract of the OfQual register is available – taken 13/01/2018
  • PICS Main, Reporting: Additional validation has been added to the ILR data capture for ACT record mismatches.
  • Reporting: Added optional outputs for Progression Values and Completion Target to the Occupancy and Occupancy Beta reports.
  • Reporting: The Trainee Payments Report is now available in the new Reports Switchboard.
  • Reporting: The Auto SMS/Email report within Schedulable Reports has a new Report Type of “In Learning” that can be used to send messages to all learners in learning for a given date range.
  • Reporting: The Claim History Report now contains the optional output to display “Learning Delivery Monitoring (LDM)” codes.

  • eEmploy: It is now possible to record Provision codes against an organisation
  • Form Capture App, PICS Main: Three new questions added to Form Capture: Trainee Rating, Employer Rating, and Reviewer Rating
  • Hosting: Phone number added to output spreadsheet produces after importing new users via spreadsheet
  • PICS Main: Now possible to set multiple web app directories for users with load balanced apps, to ensure that all installations stay up to date with matching versions

    Changes include:
    * Updated LDM fields on the ILR.
    * Budget Manager improvements.
    * Earnings Adjustment Statement is updated in the Funding Calculator; fields updated in the learner EAS capture page.
    * Enhancement to review profiling.
    * Single Learner Claim History report updated for FM36.
  • PICS Main: LDM code “358 – Extended Allocated Non-Levy Apprenticeships” has been added to the list of valid LDM codes.
  • PICS Main: LARS v5.0.0 : 22 Jan 2018 and ORGANISATIONS v3.0.0 : 24 Jan 2018 are now available in PICS
  • Reporting: Provided new interactive report pivot tables and charts to meet requirements set by Ofsted.
  • Reporting: The new Ofsted 2017 report now differentiates between Programme SSA and Main Aim SSA.
  • Reporting: The Achievement Rates report has been updated with the changes from version two of the QAR dataset specifications published by the ESFA. See our blog post for more detail of the changes.
  • Reporting: The Achievement Report Breakdown tab now includes two new extra columns when run with the “Include max/min rates” option: “In Max/Min Timely” and “Max Timely Achv”. These allow easy filtering of the learner breakdown to show which learners are included in the maximum and minimum possible timely success totals.
  • Reporting: The QAR Reconciler “All Differences” tab now includes four extra columns to assist in identifying where cohort differences occur between the ESFA and PICS achievement rates.
  • REST API: The REST Service has undergone a number of security improvements. Including the addition of the lockout after too many maximum failed login attempts feature.

Data Patches
These are changes to the PICS Database structure to support future features. When they are available they will be announced as New Features or Improvements in the relevant Release Notes.

  • PICS Main: Fields have been added to Learners, Applicants and Officers to track GDPR related events: Soft Deletion, Archiving, Anonymising and Retention Review.
    Tables have been added to archive Applicant and Officer field change records.

Bug Fixes

  • Claims and Profiles: The FM36 funding calculator was setting the incorrect age band for learners with programmes split over multiple episodes. Now fixed.
  • Claims and Profiles: The Funding Calculator’s Calculation Details report would incorrectly show funding details for all learners on the FM25 sheet if the data contains SFA funded FM25 learners. Now fixed.
  • CRM and Applicants: There was a bug causing a crash when trying to save opportunity transitions. Now fixed.
  • CRM and Applicants: The Applicant Loan Importer would incorrectly match loans with applicants where both the import file and PICS data contain a blank ULN. Now fixed.
  • eAssessor: Learner caseload should now be limited to live learners only.
  • eAssessor: There was a bug which stopped the Officer Popup Pick List in eAssessor from working. Now fixed.
  • eEmploy: There was an issue with the save button not appearing when on the Job & Placements summary page when attempting to create a new Job instance. Now fixed.
  • Imports and Exports: The ILR Importer would assign all new groups to every funding organisation in base data. Now fixed.
  • Reporting: When email server settings were configured to use port 25 with TLS, port 587 was being used instead. Now fixed.
  • SOAP Service: There was an issue where an otherwise accepted login would return an error. Now fixed
